Position Description:

As a member of the Corporate team, the Administrative Assistant to the CFAO will handle a wide range of administrative and executive support related tasks. The Administrative Assistant must be able to work independently while maintaining exceptional organization, flexibility and interpersonal skills mindful of the challenge of working with an office of diverse people and programs.

 

Job Duties:

  • Interacts with Corporate team and Board of Directors in a fast-paced environment, while remaining flexible, proactive, resourceful and efficient with a high level of professionalism and confidentiality.
  • Assist with basic Accounting functions.
  • Responsible for calendar management, requiring interaction with executives and assistants.
  • Provide proactive support for the CFAO with respect to his goals, objectives, and responsibilities.
  • Work with the CFAO to formulate an agenda and standard reporting system for the strategic alignment of all organizational units and their managers.
  • Review and summarize miscellaneous reports and documents, prepare background documents and outgoing mail as necessary.
  • Assist CFAO with preparation of presentation/meeting materials.
  • Attend Board of Director meetings, record/transcribe minutes and distribute with Regional Departmental reports for the next monthly meeting.
  • File and retrieve corporate documents, records and reports.
  • Maintenance of social media and Project Management platforms, including Sprout Social and Wrike
  • Edit and proofread materials as time permits.
  • Other duties as assigned.

 

Experience:

2 years of experience providing support at an executive level or equivalent.

1 year of Accounting experience

 

Educational Requirements:

Associates degree or equivalent work experience.

 

Knowledge, Skills and Abilities:

  • Excellent written and verbal communication skills
  • Exceptional attention to detail and accuracy
  • Strong organizational, planning and follow through
  • Able to work independently and as a member of a team
  • Proficient computer skills: Microsoft Office Suite, Internet and Intranet
  • Social media/Tech savvy
  • Information gathering, research and monitoring expertise
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.

Executive Assistant to CEO

Reports To:                         CEO

Status:                                  Exempt

Salary:                                  $36,000 – $42,000/yr. plus benefits

The Executive Assistant will handle a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. The Executive Assistant must be exceptionally well organized, flexible and excel with the administrative challenges of supporting an office of diverse people and programs.

Essential Job Functions:

  1. Interacts with staff, Board of Directors and Donors (at all levels) in a fast-paced environment, while remaining flexible, proactive, resourceful and efficient with a high level of professionalism and confidentiality.
  2. Responsible for extensive calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants to coordinate a variety of executive meetings.
  3. Prioritize, communicate and handle incoming and outgoing electronic communications for and on behalf of the CEO.
  4. Provide proactive support for the CEO with respect to his goals, objectives, and responsibilities.
  5. Work with the CEO to formulate an agenda and standard reporting system for the strategic alignment of all business units and their managers within the organization.
  6. Review and summarize miscellaneous reports and documents, prepare background documents and outgoing mail as necessary.
  7. Assist CEO with preparation of presentation/meeting materials.
  8. Work with Regional Directors to gather reports for monthly Board of Directors meetings.
  9. Attend Board of Director meetings, record/transcribe minutes and distribute with Regional Departmental reports for the next monthly meeting.
  10. File and retrieve corporate documents, records and reports.
  11. Streamline the workload of the CEO.
  12. Edit and proofread Development and Collateral materials as time permits.
  13. Other duties as assigned.

 

Experience:  

5 years of experience providing support at an executive level or equivalent.

 

Educational Requirements:  

Associates degree or equivalent work experience.
